BlueHill Boards: user guide

Updated Oct 26, 2026·4 min read

For anyone on your team who tracks customer onboarding or internal projects in BlueHill Boards. Start here, then follow the guides in order or jump to the one you need.

What a board is

A board is a single project or workflow. Its tasks and stages live inside it. Most boards belong to a customer, for example the onboarding plan for a new account. Internal boards track work that is not tied to a customer, such as a product rollout or a compliance review.

Every board has tasks (with optional subtasks), members who work on it, a status that tells you how the board is doing, and a progress percentage worked out from its tasks.

Key terms

Term Meaning
Board One project or workflow. A customer board is linked to a customer record; an internal board is not.
Task One piece of work on a board. Tasks have a status, a priority, assignees, dates and a progress percentage.
Subtask A task nested under another task. Subtasks can go two levels deep. A parent task's dates and progress roll up from its subtasks.
Template A reusable set of tasks. Creating a board from a template copies the template's tasks onto the new board.
Board group A named collection of boards, such as Active Implementations or On Hold. The switcher at the top of the Boards page lets you work inside one group at a time.
Member / Assignee A board member has access to the board. An assignee is a team member responsible for a task.
Owner Who is responsible for a task: Customer or Internal. Customer-owned tasks can be published to the portal for the customer to complete.
Portal The customer-facing view of a board. Only tasks that are Published to Portal appear there.
Task status Where a task is in its life, for example Not Started, In Progress or Completed. Each status sets a progress percentage.
Board status How the board as a whole is doing, for example On Track, Stalled or Complete. It is worked out automatically unless you set it by hand.
View A saved combination of filters, sort and columns that you can reapply with one click.

Where to find Boards

  • Operations → Boards opens the Boards page, which lists every board in your workspace.
  • The Home page shows Boards by default, unless you have chosen a different home page in your profile settings.
  • Customers → a customer → Boards tab shows only that customer's boards. A customer's board always opens inside the customer record.
  • Operations → Board Templates manages the templates boards are created from.
  • Operations → Automations holds the rules that run across all boards.
  • Analytics → Kanban and Analytics → Gantt show your tasks as status columns and as a timeline.
  • The BlueHill mobile app has a Boards tab with the same boards and tasks.

  • A path with arrows, such as Operations → Boards, means open the first item, then the next.
  • Italic text is a value you might pick, such as a status name.
  • Screenshots were taken in a demo workspace called Acme Inc. Your boards, customers and team members will differ.
